IMPORTANT UPDATE: FSA Processing/Deductions; Health Deadlines for Contract College employees

The following message was sent to all Contract College faculty and staff on Thursday, January 17, 2019.

Reminder for Contract College Faculty and Staff

Option Transfer for 2019 benefit elections will end tomorrow, Friday, January 18, 2019.

 

Health Care Elections/Changes for 2019

► Health care changes you have submitted via paper form (or changes you submit on paper before the deadline of 4:30pm EST on January 18) will NOT be reflected in Workday, at the vendor, or in paychecks until after Option Transfer is closed, and all approvals for changes have been processed. We expect these to be completed by 1/25/2019.

► Once processed, any approved 2019 health coverage changes will be retro-active to 1/3/2019, and retro-active credits/charges (as applicable) will appear:

  • For biweekly-paid staff, in paychecks dated 1/24/2019 or 2/07/2019
  • For semi-monthly-paid staff, in paychecks dated 1/31/2019 or 2/15/2019

 

Flexible Spending Account (FSA) Elections for 2019 and any deductions that occurred in your first paycheck of 2019

You MUST re-enroll for FSA each year. FSA enrollments you have submitted in Workday or via paper form (or enrollments you submit on paper before the deadline of 10:00am EST on Friday, January 18th) will NOT be reflected in Workday, at PayFlex, or in paychecks until after Option Transfer is closed, and all approvals for enrollments have been processed. PLEASE ALSO NOTE: your PayFlex debit card will not be updated with 2019 enrollment information until the Option Transfer process is completed, and all information reported to PayFlex.
 



If you elected an FSA for 2019, or will do so by 10:00 am EST on Friday, January 18, and HAD A DEDUCTION FOR FSA in YOUR FIRST PAYCHECK in 2019, it did NOT reflect your correct 2019 election. To update the correct 2019 enrollment election, we will take the following actions in the paychecks listed below:
 

BIWEEKLY-PAID STAFF
  • Your FSA deduction in your paycheck dated 1/24/2019 will equal 1/25th of your Annual FSA election MINUS any FSA deduction taken on 1/10/2019.
  • Starting with your 2/7/2019 check, your FSA deduction will return to 1/25th of your Annual FSA election and will remain at that level for the rest of 2019
SEMI-MONTHLY-PAID STAFF
  • Your FSA deduction in your paycheck dated 1/31/2019 will equal 1/23rd of your Annual FSA election MINUS any FSA deduction taken on 1/15/2019.
  • Starting with your 2/15/2019 check, your FSA deduction will return to 1/23rd of your Annual FSA election and will remain at that level for the rest of 2019

 



If you have not elected an FSA for 2019 and do not make a 2019 FSA election but HAD A DEDUCTION FOR FSA in YOUR FIRST PAYCHECK in 2019, we will refund that deduction in your next paycheck, as described below:
 

BIWEEKLY-PAID STAFF
  • You will receive a refund of that 1/10/2019 FSA deduction in your paycheck dated 1/24/2019.
  • No further FSA deductions will occur for the rest of 2019.
SEMI-MONTHLY-PAID STAFF
  • You will receive a refund of that 1/15/2019 FSA deduction in your paycheck dated 1/31/2019.
  • No further FSA deductions will occur for the rest of 2019.

Absolute deadline for submission of all Option Transfer paper forms is Friday, January 18, 2019:

  • By 10:00am EST for FSA enrollments, and
  • By 4:30pm EST for health care changes.

Submission of health insurance paper enrollment/change forms (PS404 forms) and FSA election forms are due in the HR Services and Transitions Center, EHOB, 395 Pine Tree Rd., Suite 110, by the deadlines listed above - either through hand delivery, fax, or post-marked by January 18, if sent through US Mail.
